Why payroll uses decimal hours
Pay is rate times hours, and multiplication needs a single number. 7 hours 45 minutes is 7.75 hours because 45 minutes is three quarters of an hour. The mistake to avoid is typing 7.45, which is 7 hours 27 minutes and shortchanges the employee by 18 minutes. The rule is simply minutes divided by 60.
Worked example (pre-filled). 7 hours 45 minutes converts to 7.75 hours. Going the other way, 8.33 decimal hours is 8:20, or 8h 20m; the minute part is 0.33 × 60 = 19.8, rounded to 20. Because two-decimal payroll systems cannot represent 20 minutes exactly (0.3333…), a 20-minute entry is usually recorded as 0.33 and the difference is under a second of pay at any realistic rate.
Federal regulations allow employers to round punches to the nearest 5 minutes, tenth of an hour (6 minutes) or quarter hour (15 minutes), as long as the practice does not systematically underpay over time (29 CFR 785.48(b)). Tenth-of-an-hour rounding is why time sheets often show .1, .2, .3 increments: 6 minutes = 0.1 hour, 12 minutes = 0.2, and so on.
