How to use this time card calculator

Type the time you clocked in and out each day, and the minutes of unpaid break (usually the lunch period). The calculator subtracts the break, adds up each week, and applies the overtime rule you choose. Switch the pay period to two weeks for a biweekly time sheet, and it will still check overtime one week at a time, because that is how the law counts it.

Worked example (pre-filled). Five days of 8:00 AM to 5:00 PM with a 30-minute unpaid lunch is 8.5 hours a day and 42.5 hours for the week. At $20 an hour under the federal rule, 40 hours are regular ($800.00) and 2.5 hours are overtime at $30 ($75.00), for gross pay of $875.00.

Georgia has no overtime law of its own; the federal FLSA rule applies: non-exempt employees earn 1.5 times their regular rate for hours over 40 in a workweek, with no daily overtime requirement (Georgia DOL). Unpaid meal periods can be left out of hours worked only if you are completely relieved of duty, ordinarily for 30 minutes or more; short rest breaks of 5 to 20 minutes count as hours worked and cannot be deducted (29 CFR 785.19; 29 CFR 785.18). Formula and assumptions

gross pay = regular hours × rate + overtime hours × rate × 1.5 + double-time hours × rate × 2
  • Overtime is evaluated per workweek, even in biweekly mode. 45 hours in week 1 and 35 in week 2 gives 5 overtime hours, not 0.
  • The daily option treats hours over 8 in a day as 1.5× and hours over 12 as 2×, then any remaining regular hours over 40 in the week as 1.5×. Georgia does not require this; it is offered for employers and states that use it.
  • An out time before the in time is treated as ending the next day. Break minutes are subtracted from that day only.
  • Times are taken as entered; no rounding is applied.

Frequently asked questions

How do I calculate hours worked on a time card?

Subtract the clock-in time from the clock-out time for each day, subtract any unpaid break, and add the days together. Converting minutes to decimals (30 minutes = 0.50 hours) makes the multiplication by your pay rate straightforward.

Does Georgia require overtime after 8 hours in a day?

No. Georgia follows the federal Fair Labor Standards Act, which requires overtime only for hours over 40 in a workweek. A 10-hour day inside a 40-hour week earns no overtime under Georgia or federal law.

Can my employer deduct my lunch break automatically?

An employer can exclude a bona fide meal period, ordinarily 30 minutes or more, if you are completely relieved from duty. If you work through lunch, that time is hours worked under 29 CFR 785.19.

Do I get overtime on a biweekly time card if I work 45 hours one week and 35 the next?

Yes. Overtime is figured on each workweek separately, so the 45-hour week has 5 overtime hours even though the two-week total is 80.

Are 15-minute breaks paid?

Under 29 CFR 785.18, rest periods of 5 to about 20 minutes are counted as hours worked and must be paid. Enter only unpaid breaks in the break column.
